Who I work with
You are exceptionally good at what you do. Your clients feel it. You built your practice on the strength of your skill, your instincts, and a level of personal involvement that made everything work. The problem is that personal involvement doesn’t scale.
The problem
Most practices I work with are running into one of two walls. The first is a leaky front door — leads going quiet, follow-ups falling through the cracks, no-shows that never get recovered. The second is a capacity ceiling — the practice can only grow as far as the owner can personally carry it, and without systems to delegate to, that ceiling is low. In both cases the fix isn’t working harder. It’s building the right infrastructure — and increasingly, that means putting AI and automation to work in ways that are actually practical for a small practice. Not more software to manage. Systems that run quietly in the background while you focus on the work you built this for.
01
Diagnostic
A focused outside-in look at how your practice actually runs — where leads are leaking, where time is lost, and what’s costing you the most. You walk away with a written findings report and a clear recommended next step.
02
Implementation
A done-for-you system built specifically for your practice — customized to the problems your diagnostic revealed. Built once, runs without you.
03
Support
Your system monitored, maintained, and improved month over month. Low-touch for you, high-value for your practice.

About Tracy
I’m Tracy — a licensed occupational therapist with an MBA and a background running healthcare operations at the COO level — and that combination shapes everything about how I work.
Occupational therapists don’t start with a solution and go looking for a problem. We start with the person — their goals, their environment, their capacity — and we figure out how to close the gap between where they are and where they want to be. Whatever it takes. Whatever tools fit.
That’s exactly how I work with practices. I’m not coming in with a software package to sell you or a framework that worked somewhere else and might work here. I’m coming in to understand how your practice actually runs — the good, the broken, and the things you’ve stopped noticing because you’ve been managing around them for so long. Then I build something that fits.
The tools change. The approach doesn’t.
Before we begin
Is this only for practices that are struggling?
I already use [EHR / scheduling tool / CRM] — will you just tell me to switch everything?
I’m not very tech-savvy — is this going to be over my head?
What if I just want the diagnostic and don’t want to move forward with anything else?
How quickly can we get started?
The next step
You didn’t build your practice to spend your days chasing leads, fixing broken systems, and holding everything together with sheer force of will. You built it because you’re exceptionally good at what you do — and your clients deserve all of that, not the version of you that’s exhausted from running the backend.
The Ops Diagnostic is where we start. Two hours, $500, and you walk away with a clear picture of what’s actually breaking and what it would take to fix it. No obligation to go further. Just clarity — and a plan if you want one.
